FHBC Board of Directors – Vacant Positions of Domestic Director & Athlete Program Director

Dear Field Hockey BC Members,

On behalf of the Field Hockey BC (FHBC) Board of Directors, I am writing to inform BC stakeholders that there are exciting opportunities for individuals to apply for consideration to become a voluntary member of the FHBC Board of Directors. The Board Member vacancies are in the positions of:

  • Domestic Director (see Duties of Officer for this position here)
  • Athlete Program Director (see Duties of Officer for this position here)

The FHBC Board of Directors is keen to consider the appointment of both positions to take on the reins for these portfolios for the remainder of the current term (to February 2023, when these positions are next due for election).

I would like to invite anyone interested in this role to return an expression of interest via e-mail to the Acting FHBC Board Nominations Chair at info@fieldhockeybc.com with the title “Expression of Interest – Domestic Director” or “Expression of Interest – Athlete Program Director” by a deadline date of March 7, 2022.

Such an expression of interest should include a brief statement as to your motivation for consideration, your background, qualifications and/or experience and what excites you about this opportunity. Field Hockey Canada’s Targeted Athlete Program (TAP) Announcement

Following the recent announcement that Field Hockey Canada (FHC) will be launching a new Targeted Athlete Program (TAP), this Community Communique is sent on behalf of the FHBC Board of Directors to reinforce FHBC’s commitment to support BC athletes as they move through the athlete pathway. FHBC remains committed to supporting BC athlete choices within athlete programming and FHBC will remain flexible in the ability to support athlete movement between PSO and NSO programming in this case, even if that means an athletes educated choice is to exit FHBC athlete programming completely.

FHBC currently has joint commitments with FHC to continue to partner in the delivery of performance stream programming for BC athletes throughout the remainder of the current season and into the Fall 2022. As this new FHC TAP program becomes better understood and is unveiled as a pilot program within the BC Lower Mainland in the coming weeks, FHBC will work with FHC to assist in the education and awareness for BC stakeholders. Further to the previous five AGM notice circulations, FHBC is sending out the sixth planned community communique in advance of the upcoming VIRTUAL Field Hockey BC Annual General Meeting on February 9th, 2022 (6.30pm). Fifth Notice of 2022 AGM Proceedings

Further to the previous four AGM notice circulations, FHBC is sending out the fifth planned community communique in advance of the upcoming VIRTUAL Field Hockey BC Annual General Meeting on February 9th, 2022 (6.30pm). This fifth notice draws particular attention to the posting of the AGM Package which includes all pertinent information pertaining to the 2022 AGM.

The AGM Package can be viewed ad/or downloaded from the FHBC AGM webpage or via the Documents section of the FHBC website.

Job Re-Posting – Events and Officials Coordinator

The position of Events and Officials Coordinator is designed to provide logistical support in line with the operational requirements of the annual Field Hockey BC event calendar and event based officiating calendar, the officials development pathway and the delivery of the Officials Professional Development and Certification Program, as well as, the oversight for facility bookings and equipment provision to Field Hockey BC programming. The Events and Officials Coordinator will be responsible for the coordination of each of the areas outlined within this job description and will report as a staff member of the Society to the Executive Director.

Previous experience within sports administration is an advantage but not essential for application. This position lends itself to individuals who are looking to embark on a career within sport and leisure or for those who are already actively involved within the sporting community. Field Hockey BC will require applicants to gain appropriate criminal records clearance and the Society also requires the submission of at least two job related references. Job related references can be submitted upon application or following a successful invitation to attend interview. Only those applicants invited to attend interview will be contacted following the application deadline.

Fourth Notice of 2022 AGM Proceedings

Further to the previous AGM notice circulations, FHBC is sending out the fourth planned community communique in advance of the upcoming VIRTUAL Field Hockey BC (FHBC) Annual General Meeting on February 9th, 2022 (6.30pm), to provide information pertaining to the FHBC Board of Director Elections Slate. There are five positions up for election at the 2022 Virtual FHBC AGM and FHBC received a single nomination for each of these positions by the required deadline. The following individuals have been nominated in each respective position:

  • President – Denise McGeachy
  • Finance Director – Jasbir Tatla
  • Coaching Director – Michelle McNaughton
  • Umpiring Director – Lelia Sacré
  • Business Development Director – Mark Vaughan

Detail pertaining to each candidates experience and aspirations for the role nominated will be included in the full AGM Package that is due for posting next week. In addition and as an advance notice, the FHBC Board of Directors will also be looking to actively recruit two additional Board Directors to join the FHBC Board in an ‘Acting’ capacity following the 2022 AGM. Please watch out for a communique requesting expressions of interest in an ‘Acting’ capacity for the positions of Athlete Program Director and Domestic Director later in February.

Third Notice 2022 AGM Individual and Proxy Voting

In preparation for the upcoming VIRTUAL Field Hockey BC Annual General Meeting on February 9th, 2022 (6.30pm), this notice draws particular attention to the deadline for the submission of forms associated with VOTING at the AGM.

For those members wishing to attend and carry an individual vote or carry permissible proxy votes at the 2022 Virtual FHBC AGM, the following deadline has been set for the submission of an appropriate form or forms:

  • Deadline for Submission of Proxy Forms to FHBC: February 2, 2022
  • Deadline to Register as an Individual Voter: February 2, 2022

Submission of PROXY VOTING FORMS

FHBC has posted TWO forms associated with voting via Proxy at the 2022 FHBC AGM:

  1. The first form is a PROXY FORM LIST that a proxy holder is responsible for completion and submission to FHBC by the deadline of February 2, 2022.
  2. The second form is a PROXY VERIFICATION FORM/SUBMISSION that requires a member signature confirming the identity of the proxy holder who will carry their vote at the AGM

The Proxy Holder is responsible for the SINGLE (all at one time) submission of BOTH the PROXY FORM LIST and the SIGNED PROXY VERIFICATION(S) by the deadline date of February 2, 2022.mFor signature verification, members can utilize the posted Proxy Verification Form and return this to the Proxy Holder, OR members may submit the following standardized information to the Proxy Holder by other means (for example as a photo file):

  • Title: 2022 FHBC AGM
  • Member Name:
  • Member Membership #:
  • Designation of Voting Right to Proxy Holder (Proxy Holder Name):
  • Member Signature

Both the PROXY FORM LIST Template and the PROXY VERIFICATION FORM Template can be accessed via the FHBC website from the FHBC AGM main page www.fieldhockeybc.com/annual-general-meeting-agm or from in the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2022 FHBC AGM.

All VOTING Form submissions are to be returned to info@fieldhockeybc.com by February 2, 2022

Submission of an INDIVIDUAL VOTER FORM (for those members NOT carrying votes via proxy)

For members wishing to attend the 2022 FHBC AGM and vote as an individual, FHBC has created an INDIVIDUAL VOTER FORM that can be accessed from the FHBC website either at the FHBC AGM main page www.fieldhockeybc.com/annual-general-meeting-agm, or from the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ (under the heading 2022 FHBC AGM).

All VOTING Form submissions are to be returned to info@fieldhockeybc.com by February 2, 2022

Uploading Voting Information in advance of the 2022 FHBC AGM

Following receipt and processing of a Voting Form Submission, FHBC will upload all relevant detail into the voting software being utilized for the 2022 Virtual FHBC AGM and communicate thereafter to those carrying votes on how they can access the voting software and cast votes at the AGM.

2022 FHBC Provincial Program Talent ID and National Championship Team Trial Athlete Nomination Information

Athlete Nominations for the 2022 FHBC Provincial Program Talent ID and National Championship Team Trials are now being accepted (as of January 10, 2022). Athletes interested in attending the Trials this Spring, MUST be nominated by a coach*. Any level of field hockey coach may submit a FHBC Athlete Nomination Form, including but not limited to a Club coach, FHBC program coach, National coach, Academy coach, High School coach or out-of-province Coach. A reminder that the 2022 FHBC Provincial Program Talent ID and National Championship Team Trials are for aspiring high performance athletes.

*Note Targeted Athletes have an exemption from this nomination process. Targeted Athletes have been notified of their status for the 2022 season.

Athlete Nomination Deadlines

  • U18 & U16 Female Athletes: January 31, 2022
  • U18 Male Athletes: February 28, 2022

Athlete Nominations received after the respective deadlines will not be eligible for Trials.

Nominated athletes will be invited to register for their respective Trials by the day after their groups’ Nomination Deadline. Athletes should look for an email from katie@fieldhockeybritishcolumbia.com.

Second Notice of 2022 AGM Calendar Timelines

Further to the first AGM notice circulation on December 22, 2021, FHBC is sending out a second of three planned community communiques in preparation for the upcoming VIRTUAL Field Hockey BC Annual General Meeting on February 9th, 2022 (6.30pm). This second notice draws particular attention to the deadline for the submission of Formal Motions ahead of the AGM and acts as a reminder of the deadline for submission of Nominations to the Board of Directors:

  • Deadline for Submission of Nominations to the Board of Directors: January 17, 2022

Submission of Formal Motions

FHBC has posted a Formal Motion Submission Form on the FHBC website that can be accessed from the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2022 FHBC AGM. To submit a Formal Motion, please complete a Formal Motion Submission Form and return the form by January 17, 2022 to info@fieldhockeybc.com.

FHBC Board of Director Nominations

The following five FHBC Board of Director positions are up for election in 2022:

  3. Coaching Director
  4. Umpiring Director
  5. Business Development Director

FHBC has posted the terms of reference for each position above and the applicable nomination form in the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2022 FHBC AGM. To nominate an individual for any of the Board of Director positions above, please complete a nomination form and return the form by January 17, 2022 to info@fieldhockeybc.com. A reminder will be included in the January 5, 2022 update to follow.

In addition and as a polite reminder, the full calendar outline for the submission of information and documentation ahead of the virtual FHBC AGM is as follows:

The timeline above recognizes the level of complexity required when considering a virtually hosted AGM and in particular sets realistic submission deadlines designed to enable FHBC to pre-load election, motion, and voting detail into the supporting technology. Once such detail has been pre-loaded sufficient time remains for FHBC to communicate with members (most specifically voting members) as to how such technology will be utilized both in advance of and at the AGM.

FHBC intends to provide a further AGM update/reminder scheduled for membership dissemination on January 24, 2022. Each AGM update is intended to provide guidance as to due process ahead of pertinent calendar deadlines.
