FHBC Virtual Annual General Meeting (AGM) – Third Notice of 2023 AGM Calendar Timelines

Further to the first and second AGM notice circulations on January 3, 2023 and January 17, 2023 respectively, FHBC is sending out a third of four planned community communiques in preparation for the upcoming VIRTUAL Field Hockey BC Annual General Meeting on February 8th, 2023 (6.30pm). This third notice draws particular attention to the deadline for the submission of forms associated with VOTING at the AGM.

For those members wishing to attend and carry an individual vote or carry permissible proxy votes at the 2023 Virtual FHBC AGM, the following deadline has been set for the submission of an appropriate form or forms:

  • Deadline for Submission of Proxy Forms to FHBC: February 3, 2023
  • Deadline to Register as an Individual Voter: February 5, 2023

Submission of PROXY VOTING FORMS

FHBC has posted TWO forms associated with voting via Proxy at the 2023 FHBC AGM:

  1. The first form is a PROXY FORM LIST that a proxy holder is responsible for completion and submission to FHBC by the deadline of February 3, 2023.
  2. The second form is a PROXY VERIFICATION FORM/SUBMISSION that requires a member signature confirming the identity of the proxy holder who will carry their vote at the 2023 FHBC AGM.

The Proxy Holder is responsible for the SINGLE (all at one time) SUBMISSION of BOTH the PROXY FORM LIST and the SIGNED PROXY VERIFICATION(S) to FHBC by the deadline date of February 3, 2023.

For SIGNED PROXY VERIFICATION(S), members can utilize the posted PROXY VERIFICATION FORM and return this to the Proxy Holder, OR members may submit the following standardized information to the Proxy Holder by other means (for example as a photo file):

  • Title: 2023 FHBC AGM
  • Member Name:
  • Designation of Voting Right to Proxy Holder (Proxy Holder Name):
  • Member Signature:

Both the PROXY FORM LIST Template and the PROXY VERIFICATION FORM Template can be accessed via the FHBC website from the FHBC AGM main page https://fieldhockeybc.com/annual-general-meeting-agm/ or from in the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2023 FHBC AGM.

All VOTING Form submissions are to be returned to info@fieldhockeybc.com by February 3, 2023

Submission of an INDIVIDUAL VOTER FORM (for those members NOT carrying votes via proxy)

For members wishing to attend the 2023 FHBC AGM and vote as an individual, FHBC has created an INDIVIDUAL VOTER FORM that can be accessed from the FHBC website either at the FHBC AGM main page https://fieldhockeybc.com/annual-general-meeting-agm/ , or from the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ (under the heading 2023 FHBC AGM). INDIVIDUAL VOTER FORM SUBMISSION is required by a deadline date of February 5, 2023.

All VOTING Form submissions are to be returned to info@fieldhockeybc.com by February 5, 2023

Uploading Voting Information in advance of the 2023 FHBC AGM

Following receipt and processing of a Voting Form Submission, FHBC will upload all relevant detail into the voting software being utilized for the 2023 Virtual FHBC AGM and communicate thereafter to those carrying votes on how they can access the voting software and cast votes at the AGM.

Submission of Formal Motions

FHBC has posted a Formal Motion Submission Form on the FHBC website that can be accessed from the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2023 FHBC AGM. To submit a Formal Motion, please complete a Formal Motion Submission Form and return the form by January 19, 2023 to info@fieldhockeybc.com.

FHBC Board of Director Nominations

The following four FHBC Board of Director positions are up for election in 2023:

  1. Vice-President
  2. Domestic Director
  3. Marketing Director
  4. Athlete Program Director

FHBC has posted the terms of reference for each position above and the applicable nomination form in the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2023 FHBC AGM. To nominate an individual for any of the Board of Director positions above, please complete a nomination form and return the form by January 19, 2023 to info@fieldhockeybc.com.

In addition and as a polite reminder, the full calendar outline for the submission of information and documentation ahead of the virtual FHBC AGM is as follows:

The timeline above recognizes the level of complexity required when considering a virtually hosted AGM and in particular sets realistic submission deadlines designed to enable FHBC to pre-load election, motion, and voting detail into the supporting technology. Once such detail has been pre-loaded sufficient time remains for FHBC to communicate with members (most specifically voting members) as to how such technology will be utilized both in advance of and at the AGM.

FHBC intends to provide further AGM update/reminders scheduled for membership dissemination on January 20, 2023 and January 30, 2023. Each AGM update is intended to provide guidance as to due process ahead of pertinent calendar deadlines.

Field hockey’s Beecroft retires, legacy continues

Lynne Beecroft is retired. Let that sink in.

After 39 years at the helm of the University of Victoria Vikes women’s field hockey program, the 15-time national championship head coach will no longer patrol the sidelines of the field hockey pitch off Gabriola Road. Her roots, however, will continue to nourish the next crop of Vikes though the newly created Lynne ‘Buzz” Beecroft Student Award.

To celebrate the legacy of coach Buzz, an anonymous donor has agreed to match funds raised up to $100,000 until March 2023.

Beecroft’s legacy is often summed up by the numbers. She has amassed 34 national medals (15 of which are gold), coached nearly 40 athletes who have gone on to represent Canada and over 70 All-Canadians, finishing with an impressive overall coaching record of 340-98-89 (wins-losses-ties) but the real legacy lies in that which she has left with her athletes, her colleagues, the community and the sport.

Since 1985, coach Buzz has instilled an annual team theme to bring her team together. Her philosophy of taking care of the people before the athlete has given rise to champions on and off the field as students, as athletes and as people. Through her themes, Buzz’s teams have learned to grow through challenges, become leaders in their own right and have learned how to be part of something bigger than a team.

Decades of Vikes field hockey players are linked through the team themes and values with those shared experiences building a strong core of alumni. In recent seasons, it has been special to see championship-winning alumnae, coached by Buzz in the 1980s on the sideline cheering on their daughters as current Vikes. The Vikes women’s field hockey experience comes with a prestigious “you had to be there” stature that resonates through decades and now, generations. Those values and lessons often reverberate long after athletes graduate UVic.

As proud as Buzz is to say she has amassed numerous medals and coached athletes of the year and Olympians, she is just as proud of how the program has helped build community contributors. Contributors that include the veterinarians, teachers, principles, engineers, stay-at-home moms or a soon-to-be total of 15 medical doctors.

“There’s a saying that when a student is ready, a teacher will come. Obviously, I was going to be the teacher as I was ready to make a difference in the lives of student athletes under my tutelage,” reflected Buzz when describing her transition to coaching at UVic. “I couldn’t have been more wrong. Upon reflection, I realize now that it has always been my athletes who have been the teachers and me the student.”

A decorated athlete prior to her coaching career, Beecroft competed for UVic from 1975-79 and representedCanada in four World Cups before attending the 1984 Olympic Games. She has been inducted into the Greater Victoria Sports Hall of Fame, the BC Sports Hall of Fame and is a two-time UVic Sports Hall-of-Famer as an athlete and as part of the 1984 championship-winning women’s field hockey team.

Beyond her athletic career and coaching career, Beecroft is a memorable face in the community. She has helped mentor up-and-coming coaches in the National Coaching Institute program, been an umpire at local league and high school tournament games, volunteered on numerous committees, and was a beacon for many aspiring field hockey players in Vancouver Island.
As of January 2023, the Vikes program will move forward without the sound of Buzz’s infamous whistle, her three-claps tradition to close every session and her bouncing footsteps while she demonstrating drills on the field.

After a glowing final season capped off with a 15th overall and fourth-straight championship banner, Lynne Beecroft is retired. The word seems unimaginable. The UVic field hockey program is as synonymous with Beecroft, just as the UVic basketball programs are with the names Ken and Kathy Shields. But it is time to turn over a new leaf.

The creation of the Lynne ‘Buzz’ Beecroft Student Award Fund will be accepting contributions to build a financial award to support UVic women’s field hockey players whose attributes align with what Beecroft looked for her in her players. 2023 FHBC Provincial Program: Athlete Nomination Information

Athlete Nominations for the 2023 FHBC Provincial Program Talent ID, Athlete Evaluation and Team Selection are now being accepted (as of January 11, 2023). Athletes interested in attending the Athlete Evaluations this Spring, MUST be nominated by a coach*.

Any level of field hockey coach may submit a FHBC Athlete Nomination Form, including but not limited to a Club coach, FHBC program coach, National coach, Academy coach, High School coach or out-of-province Coach. A reminder that this nomination process is for aspiring high performance athletes.

*Note Targeted Athletes have an exemption from this nomination process. Targeted Athletes have been notified of their status for the 2023 season.

The deadline to nominate athletes is January 31, 2023.

Athlete Nominations received after the deadline will not be eligible.

Nominated athletes will receive an email inviting them to register for the Athlete Evaluation. Parents and athletes should look for an email invitation from katie@fieldhockeybritishcolumbia.com in early February.

2023 Provincial Program Coach Recruitment

Field Hockey BC is now accepting applications for various coach roles within our Provincial Program. Opportunities include:

  • U18 Female Provincial Team Head or Assistant Coach (Tier 1)
  • U18 Male Provincial Team Head or Assistant Coach
  • U16 Female Provincial Team Head or Assistant Coach (Tier 1)
  • U16 Male Provincial Team Head or Assistant Coach
  • U18 Female Regional Head or Assistant Coach (Tier 2) – if viable
  • U16 Female Regional Head or Assistant Coach (Tier 2) – if viable
  • Evaluators (Stage 1 & Stage 2)

All teams will compete at the 2023 Field Hockey Canada National Championships in Ontario this summer:

In preparation for the upcoming Field Hockey BC Annual General Meeting on February 8th, 2023 (6.30pm), the Field Hockey BC Board of Directors and Staff wish to reach out to inform the membership that the 2023 AGM will be hosted in a VIRTUAL capacity utilizing both video conference and web-based voting technology. This is a similar format to that followed successfully by FHBC for both the 2021 and 2022 AGM.
