Advance Notice of 2022 AGM Calendar Timelines

In preparation for the upcoming Field Hockey BC Annual General Meeting on February 9th, 2022 (6.30pm), the Field Hockey BC Board of Directors and Staff wish to reach out to inform the membership that the 2022 AGM will be hosted in a VIRTUAL capacity utilizing both video conference and web-based voting technology. This is a similar format to that followed successfully for 2021 FHBC AGM proceedings.

Given the ongoing restrictions imposed on indoor group gatherings by the BC Public Health Office, as well as the relative community comfort level for indoor group gatherings, the opinion of the FHBC Board of Directors is that an in-person hosted AGM will not be appropriate in February 2022. As a result, FHBC is providing a series of advance notices to membership beginning with this communique outlining a calendar timeframe for the submission of information and documentation ahead of a virtual AGM:

  • AGM Date: February 9, 2022 at 6.30pm
  • Deadline for Submission of Nominations to the Board of Directors: January 17, 2022
  • Deadline for Submission of Formal Motions: January 17, 2022
  • Release and Posting of Proxy Form Template: January 19, 2022
  • Deadline for Submission of Proxy Form to FHBC: February 2, 2022
  • Deadline to Register as an Individual Voter: February 2, 2022
  • Deadline to Register Questions in advance of the AGM (Optional): February 4, 2022
  • Virtual AGM Trial Run (Internal): February 7, 2022

The timeline above recognizes the level of complexity required when considering a virtually hosted AGM and in particular sets realistic submission deadlines designed to enable FHBC to pre-load election, motion, and voting detail into the supporting technology. Once such detail has been pre-loaded sufficient time remains for FHBC to communicate with members (most specifically voting members) as to how such technology will be utilized both in advance of and at the AGM.

FHBC intends to provide similar AGM updates/reminders scheduled for membership dissemination on January 5, 2022; January 19, 2022; and January 24, 2022. Each AGM update is intended to provide guidance as to due process ahead of pertinent calendar deadlines.

This first AGM notice provides the opportunity to introduce due process for nominations to the FHBC Board of Directors:

The following five FHBC Board of Director positions are up for election in 2022:

  1. President
  2. Finance Director
  3. Coaching Director
  4. Umpiring Director
  5. Business Development Director

FHBC has posted the terms of reference for each position above and the applicable nomination form in the General Meeting Documents section of the FHBC website www.fieldhockeybc.com/documents/ under the heading 2022 FHBC AGM. To nominate an individual for any of the Board of Director positions above, please complete a nomination form and return the form by January 17, 2022 to info@fieldhockeybc.com. A reminder will be included in the January 5, 2022 update to follow.

COVID-19 Response: PHO Order Update – December 20, 2021

The Provincial Health Office (PHO) ‘Provincial Gatherings and Events Order’ has been amended with this latest revision active from Sunday, December 19 at 11:59 pm to at least January 31, 2022. The PHO Order revision restricts the BC Organized Sport Sector in the delivery of tournament play and associated tournament travel. As a result, please note the following:

  • Tournaments are not allowed, until at least January 31, 2022. The definition of “Tournaments” requires some clarification, however, where field hockey is concerned tournament structures such as the indoor tournaments traditionally held during the calendar month of January cannot now take place.
  • Regular league play continues to be allowed, as is travel for those games. Further clarification as to the diversity when considering the broader definition of “regular league play” is being sought, however a green light (cross-referenced through viaSport BC) for regular league play remains in place at the time of this circulation.

Note: Field Hockey BC will make a determination as to the scheduled hosting of the BC Women’s Senior Indoor Tournament (Duncan, BC) over the weekend February 5/6, 2022 in the New Year. All Tournament registrants to date will be contacted directly and registration for this event remains open.

2022 FHBC Provincial Program Talent ID and National Championship Team Trial Information

Field Hockey BC is pleased to announce dates for the upcoming 2022 FHBC Provincial Program Talent ID and National Championship Team Trials. The 2022 Provincial Talent ID Program will be a joint venture with Field Hockey Canada in being both a Talent Identification point for the FHC NextGen Program, as well as a Talent Identification point for FHBC National Championship Team participation.

Following FHBC’s Provincial Athlete Pathway Review in 2020, FHBC Provincial Teams at National Championships will now be selected through a series of regional and centralized trials. Both Team BC Provincial (Tier 1) and BC Regional teams (Tier 2) will compete at the FHC National Championships being hosted by FHBC in the Summer of 2022. The National Championship Tournament information is as follows:

    Year of Birth: 2004 and 2005
    July 29th – August 3rd @ Tamanawis Park, Surrey
    Female – Tier 1 & 2 | Male – Tier 1
  • 2022 U16 National Championships
    Year of Birth: 2006 and 2007

Job Posting – Events and Officials Coordinator

The position of Events and Officials Coordinator is designed to provide logistical support in line with the operational requirements of the annual Field Hockey BC event calendar and event based officiating calendar, the officials development pathway and the delivery of the Officials Professional Development and Certification Program, as well as, the oversight for facility bookings and equipment provision to Field Hockey BC programming. The Events and Officials Coordinator will be responsible for the coordination of each of the areas outlined within this job description and will report as a staff member of the Society to the Executive Director.

Previous experience within sports administration is an advantage but not essential for application. This position lends itself to individuals who are looking to embark on a career within sport and leisure or for those who are already actively involved within the sporting community. Field Hockey BC will require applicants to gain appropriate criminal records clearance and the Society also requires the submission of at least two job related references. Job related references can be submitted upon application or following a successful invitation to attend interview. Only those applicants invited to attend interview will be contacted following the application deadline.
